We are pleased to announce that after a thorough review of Zoom's AI Companion tools' data privacy and security practices, we are making them available for general use to any CU account holders who want to opt in.

Known Issue:

If the original host of a Zoom meeting with AI summary enabled transfers host ownership and leaves, the AI summary settings of the original host remain active. This could lead to compromised confidentiality if sensitive topics are discussed after the host's departure.

What is available?

Meeting Summary allows AI to summarize the content of a meeting and email that summary to participants, or just the host. Meeting Summary can be started automatically or manually. They are completely independent of recordings and can be created without a recording.

Smart Recording with AI Companion allows cloud recordings to include smart chapters, key takeaways, action items, etc. Must be activated by the meeting host.

How do I opt-in?

Individual users activate AI Companion on their account via the web  portal at https://columbiauniversity.zoom.us/signin

Once Meeting Summary is enabled on your account, you can elect to start summaries automatically for each meeting when they begin, and also decide who should receive the email summary.

  1. If Automatic Summary was enabled at the account level, the host will have the option to Stop Summary, and then Start again.
  2. If Automatic Summary was NOT enabled at the account level, the Start Summary button will be available, and then the Stop Summary button will follow:

In meeting Controls: Hosts can enable or disable AI Companion features in-meeting. Participants can also request that these features be enabled at meetings. Users are prompted when AI Companion features are enabled during the meeting with a consent for the functionality.

AI Companion controls for meeting hosts: For meeting hosts connecting to a meeting using Zoom Client 5.15.12 or later, a message displays stating that the AI Companion is on. Hosts must select from the following options on the message:

  • Got It. AI Companion continues for the meeting.
  • Disable AI Companion. This option disables AI Companion for the current meeting. Note: This does not disable AI Companion for future meetings. Any changes to the account settings must be made through the Admin portal.

AI Companion consent for in-meeting participants: For meeting participants connecting to a meeting using Zoom Client 5.15.12 or later, a message displays for the in-meeting participants stating that the AI Companion is on. Participants must select from the following options on the message:

  • Got It
  • Leave Meeting
